Position: Implementation Administrator

Guided by organizational objectives, this role manages simultaneous project implementation plans and resources to board clients and third party vendors. Additionally, this role supports effective execution and ongoing operations through the delivery of orientation and training and troubleshooting issues pre and post implementation.

Responsibilities include the following:

  • Leads the development and management of comprehensive project plans, including but not limited to client and third-party vendor implementations, switch-outs and service and/or technical upgrades. Collaborates with cross functional departments, including technical staff to estimate time requirements and identify predictable project schedules for completion.
  • Responsible for data integrity of all customers and third party providers within company systems. Sets up and tests price tables and new customer loads for all new contracts and contract amendments.
  • Consolidates the information from multiple sources into a central repository from which status and activity reports may be accessed for analysis. This includes ensuring key information accessible for analysis.
  • Serves as a central resource to relay, facilitate and keep stakeholders apprised of project(s) status. This includes preparing reports on progress and problems and coordinating project team meetings as appropriate.
  • Acts as the primary resource during the implementation and on-boarding for cross-functional departments to address and resolve challenges and provide effective client and partner solutions.
  • Provides support for client implementations when appropriate to include coordinating schedules and scheduling calls and meetings.
  • Performs other duties as assigned or apparent.

Required knowledge, skills and abilities to perform the role include the following:


Education, Work Experience, Related Experience and Licensure:

  • A thorough knowledge and understanding of general business management as normally obtained through the completion of a Bachelor’s Degree in Marketing, Finance, Accounting, Business Administration, or a related field of study
  • Formalized education or training in project management practices, theories, and processes is strongly preferred;
  • A minimum of 4 years of experience in the execution of project plans and management of simultaneous projects
  • One year of sales or account management experience is required or experience in which the incumbent has been engaged in identifying and understanding the customers’ needs, providing solutions and presenting recommendations
  • Operational experience in a hospice environment is preferred
  • Experience in the healthcare or medical fields in which incumbents have gained a thorough understanding of durable medical equipment is preferred
  • Specialized Knowledge, Skills & Abilities:

    • The ability to be proactive and self-directed utilizing good time management, decision-making, and organizational skills. Incumbents must be able to prioritize tasks and projects
    • Excellent presentation and interpersonal skills are required to perform the functions as described, including the ability to present information to varied clients and internal customers
    • Incumbent must possess strong verbal and written communication skills to manage projects as described above. A moderately high degree of organizational skill and ability to manage the moderately complex projects are required
    • Ability to define problems, collect data, establish facts, and draw valid conclusions to manage projects as described above is required. A moderately high level of analytical and decision-making abilities are required
    • The ability to quickly become conversant on new or updated system applications is required to present information, supporting it with collateral materials when necessary, to clients, sales audiences and internal functional work groups
    • The ability to maintain confidentiality of patient information and follow standard operating procedures with regard to patient data to ensure compliance with HIPAA is required
    • A good understanding of StateServ’s products, technologies, selling strategies and internal business functions is necessary to become proficient and competent in this role
    • A basic understanding of the operations of the durable medical equipment industry and hospice industry
    • Working knowledge of a PC, business and communications software (MS Office) and web-based tools are required

    Physical Requirements and Demands:

    • Regular eye-hand coordination and manual dexterity is required to operate office equipment

    Travel Requirements and Conditions:

    • Occasional travel may be required including overnight travel to visit clients and providers and provide on-site trainings
